WhatsApp templates and sending

Meta checks whether all messages initiated in a business context comply with WhatsApp's commercial guidelines. This is to prevent the distribution of illegal content. The WhatsApp newsletter template is checked for this purpose.
A WhatsApp template is a predefined message text including media and optional buttons that is used to send a newsletter. Each template must be approved by Meta (WhatsApp) before it can be used for the first time. Only then can it be used in eMS to send your WhatsApp campaigns.

The WhatsApp template is created in the eworx Marketing Suite under the menu item ‘WhatsApp Templates’. Here you define:

  • the language and internal name
  • the message text (including emojis, personalisation, placeholders)
  • Header (text or image)
  • Optional footer
  • Optional buttons (call-to-action or telephone number).

 

Texts, images, videos and call-to-action buttons can be designed as desired – all mobile-optimised and high-performance. The proven AI text editor of the eMS is available for creating appealing content. Once created, the template is automatically submitted to Meta and reviewed. The approval process in eMS usually takes only a few moments. Once approved, the template is ready to be sent.

The sending process in the eworx Marketing Suite is intuitive and well thought out.

  1. You select a WhatsApp template that you have created in advance and that has been approved by Meta.
  2. You specify the sender number, language, subscriber group and sending time.
  3. Before sending, eMS automatically checks whether all criteria are met, such as valid DOI status, correct text, opt-out notice and functioning links.
  4. The message is sent either immediately or at a scheduled time.
  5. After sending, detailed reporting is available to you.

GDPR & Double Opt-In (DOI)

Yes. The eworx Marketing Suite enables GDPR-compliant sending of WhatsApp newsletters. The prerequisite is that subscribrs have actively consented to receiving them via a double opt-in procedure (DOI) and that the processing of personal data is presented transparently in your privacy policy.

Yes, WhatsApp newsletters require a separate double opt-in, even if your subscribers have already agreed to receive an email newsletter. The reason for this is the channel-specific consent requirement under the GDPR. As WhatsApp is a separate communication channel with different technical requirements and data protection requirements, consent for communication via WhatsApp must be obtained separately.

WhatsApp only allows messages to be sent to subscribers who have given their active consent. The eworx Marketing Suite provides a special DOI process for this purpose. This allows subscribers to give their consent to WhatsApp communication in a simple and transparent manner.

The DOI is carried out via so-called ‘click-to-chat’ links or QR codes.

  • The subscribers click on a link or scan a QR code.
  • WhatsApp opens with a pre-formulated message that can be easily sent.
  • After sending the click-to-chat message, the actual request for consent to receive newsletters is made.
  • Once this message has been confirmed, consent is documented and the person can receive messages.

This method is secure, GDPR-compliant and user-friendly. Alternatively, the DOI status can be set manually to ‘externally documented’ in the eMS (e.g. in the case of consent given by telephone or via other systems).

The following options are suitable for distributing the opt-in link:

  • Integration of the link or QR code into existing email newsletters
  • Placement on the website or in social media
  • Advertising via posters, flyers or print ads (QR code)

For legal reasons, actively sending messages to known telephone numbers to obtain opt-ins is not permitted.
